Add Dashboard Subscriptions for Others in Lightning Experience

Time for the Monday 8:00 AM sales meeting and your sales pipeline presentation. You're ready to present this week because your Sales Pipeline dashboard subscription ensures that your refreshed dashboard arrives by email with plenty of time for review. But you’ll be away next week. Your office mate has agreed to cover for you, but what about the pipeline presentation? Not to worry. You can now add additional people as dashboard subscribers. Everyone you add will receive a refreshed dashboard by email according to the schedule you set up.

Where: These changes apply to Lightning Experience in Group, Essentials, Professional, Enterprise, Performance, Unlimited, and Developer Editions.

Who: To add subscribers to a dashboard, you need the Subscribe to Dashboards: Add Recipients user permission.

Why: Adding other people as subscribers is a perfect way to share updated dashboards on a regular schedule. Everyone you designate gets the same information and visuals at the same time every day, week, or month.

How: On the Dashboards page, click Action Arrow next to the dashboard name, and select Subscribe. (You might need to scroll to the right to scroll to the right to see the row-level action arrow.) Alternatively, you can open the dashboard and click Subscribe.

After setting the subscription schedule, click Select people to add subscribers. You’re selected by default, but you can add others, and even remove yourself if needed. Others you add must have view access to the dashboard.

As you prepare to subscribe to dashboards, take note of these considerations and allocations.
  • Each person in your org can subscribe to up to 5 dashboards.
  • You can subscribe to filtered dashboards, but dashboard filters are never applied to emailed dashboards.
  • Dashboards that are configured to display data as The dashboard viewer under View Dashboard As settings in Dashboard Properties don’t support subscriptions. You can’t subscribe to them.
